Renting The Pavilion

RESERVATIONS for Groups and Special Events
Open and airy with a rustic industrial vibe, The Pavilion in downtown Franklin is an ideal location to gather a group of your family, friends or co-workers, thanks to the flexible spaces and accommodating staffs of The Pavilion, Triple Play BBQ and Shale Creek Brewing.

*Small Groups (10 to 25 people)
Need a space for a birthday party? Or a location for a colleague’s farewell party? Triple Play BBQ can handle your group up to 25 people.
Call the restaurant directly at 317-668-0800 to reserve your tables for a small group.
We don’t require a minimum number of diners or spending for a small group if the space is available. However, if we have another special event, such as a band or comedian, booked at the same time, we want to allow as many people as possible to enjoy the show. Consequently, at those times we may require a deposit when you make your group reservation, or we may charge a $10 no-show fee for any empty seats in your group. (This policy is subject to change without notice.)
You may bring in your own celebration cake. We can supply throw away plat ware and plastic ware plus cutting knives at an agreed to charge, or you may bring your own.
You can order off the menu or we can also set up a private buffet at a cost of $15 and up in the reserved area.
*Friday and Saturday Reservations (with sub-categories of Medium and Large Groups)

**Medium Groups (25 to 100 people)
Planning a wedding rehearsal dinner or a retirement party for a group of less than 100?
Triple Play BBQ staff will set aside an area for your group in The Pavilion, using our backyard fencing or divider fence to give your group some privacy.

We offer either buffet or off-the-menu options with an appropriate number of servers dedicated to your group only. We request that you give us at least one week’s notice if you choose a buffet meal.
Per person minimums for mid-sized special events on Friday or Saturday evenings:
$20.95 per person + 20 percent gratuity + 8 percent sales tax for each diner aged 12 or older
$2.50 per person for sodas and tea
Standard menu rate for other drinks
We credit all food and beverage sales toward the event’s minimum pricing. We allow diners to pay individually or as a single-check group.
We require that the person making the reservation pay for the shortfall of reserved meals for any missing diners.

Example:
Jamie books a rehearsal dinner for 40 family and friends (40 x $20.95 + gratuity and tax = $1,175.04).
However, only 34 people attend and spend a total of $911.75 on food and beverage.
Unfortunately, Jamie must pay the difference/shortfall between the expected amount of $1,175.04 and the actual amount of $911,7 5or $263.29.
This policy allows us to share the wonderful atmosphere of The Pavilion with as many people as possible.

Note: If you ask us to set up tables for a group of more than 25 people but you do not use all of that space, we may charge you a room and set-up fee of $10 for each no-show guest. This policy applies if the number of no-show guests is more than 10 percent of the total group. We request a final number at least 24 hours in advance.

*Large Groups

The Pavilion fits the bill!

We will dedicate the entire Pavilion with its glass retractable roof to provide an unforgettable atmosphere for your celebration! We will create a private patio within our space, setting aside your guests’ area by using our white vinyl fencing.
You don’t have to worry about the weather at The Pavilion, unlike other venues. Rain or shine, we can open or close the roof to fit Mother Nature’s whims and your guests’ comfort.

And if you have more than 175 diners, we can accommodate them too by using parts of the Triple Play BBQ or Shales Creek Brewing dining areas (although we want to continue serving other diners in those areas).

Food
Our standard full buffet includes pulled pork, chicken, brisket, rib tips, green salad with dressing, apple cole slaw, apple bourbon baked beans, mixed vegetables, macaroni and cheese or scalloped potatoes, and cinnamon apples or cobbler. If these options don’t fit your group’s tastes, we will work with you to develop a buffet menu that does.

We charge $24.95 + tax and gratuity per reservation for the buffet. We also charge $2.50 per person for sodas and tea. We charge the standard menu rate for other drinks.

We charge $6,500 for using the full Pavilion, with food and beverages credited toward this amount. We also charge $1,000 to set up the room, which is included in the fee.

We consider the contract fee to be a minimum with no refunds. If your guests spend more on drinks, you are responsible for paying more.

Drinks
As stated above, we charge $2.50 per person for sodas and tea. We charge the standard menu rate for other drinks.
We offer both cash bars and open bars.
If you choose a cash bar, your guests’ spending will apply toward your beverage allowance. The amount your guests spend at a cash bar can reduce your event expense.

Example: Austin and Emma expect 175 guests at their wedding reception. They have $5,500 available for food and drink under the contract ($6,500 minus $1,000 for set up). Their full buffet will cost $24.95 per person or $4,366.25. They have $1,133.75 available for drinks (sodas, teas, bar drinks).
Their guests spend $2,000 at the cash bar, more than the $1,133.75 necessary to meet the event’s minimum cost of $6,500. Now Austin and Emma get a credit of $1,133.75, which reduces the total $6,500 bill by $1,133.75 for them.
If you choose an open bar, you are responsible for paying all drinks, of course.

*Weekdays and week nights – any size group
If you choose to have your group dine at Triple Play BBQ on a weekday or weeknight, we can accommodate your groups of any size without using the weekend pricing plan.
We offer individually priced plans for each event, which allows you to select food items from our regular or special menu. Consider a nacho bar with an assortment of toppings at a price of $8.50 or more per person. Or perhaps you’ll prefer an hors d’oeuvre bar. Or maybe a small or large buffet for a full meal. The staff of Triple Play BBQ is at your service!

**Music
We’re here to help ease the stress of managing your special celebration. We can assist you in finding a disc jockey, single-play artist or full band for your event.
DJ prices begin at $200. Single-play artists fees begin at $150. Full band rates begin at $400.

**Décor

We know you want to make our space reflect your special event and the special people you’re celebrating.
We will allow a group of several people to decorate the space and bring in special items before the event as long as they don’t interfere with our staff’s work and other groups using the facility.
If you rent the full Pavilion for your event, we allow you at least three hours to decorate the space. We will allow you more time to decorate it doesn’t interfere with our dining schedule.

**Cakes

You may bring in your own celebration cake. We can supply throw away plat ware and plastic ware plus cutting knives at an agreed to charge, or you may bring your own.

*Non-profit groups
If you’re part of a non-profit organization, please submit a copy of your tax status for our files so we won’t charge you sales tax the next time your group dines with us.

You will never have to worry about weather as we can just open or close the roof.

Amenities include a stage for DJ or band with in-house sound system; large projection screen and 6 big screen TVs; state of the art A/V with Direct TV and HDMI inputs; professional staff; floral arrangements; Award-Winning BBQ; and the finest all-around menu in the area.
